Privacy Policy

This Privacy Policy explains how MaterialFlow (“MaterialFlow”, “we”, “us”) collects, uses, and protects information when a distributor and its team use our order, godown, and dispatch platform (the “Service”). MaterialFlow is a business tool used by interior-materials distributors; it is not aimed at consumers or children.

Information we collect

• Account & team data. Your name, phone number, role, and the distributor/branch you belong to. We sign you in with a phone number and a one-time code.
• Order conversations. WhatsApp messages relayed to the Service by your connected provider — text, images, PDFs, and voice notes — together with the structured orders, products, retailers, and dispatch records created from them.
• Operational data. Godown stock, packing, vehicles, and dispatch details your team records.
• Technical data. Device, app version, and log data needed to operate, secure, and debug the Service, and push-notification tokens if you enable notifications.

How we use information

• To provide the Service — turning messages into orders and running godown and dispatch.
• To use AI models to read and structure incoming messages into draft orders for your team to review.
• To send operational updates (for example, dispatch confirmations) to retailers on your behalf.
• To secure the Service, prevent abuse, and provide support.

AI processing

Incoming messages are processed by AI models to extract products and quantities and match them to your catalogue. Extracted orders are always presented for human review before they are confirmed. We do not sell your data, and we do not use your business content to train third-party public models.

Sharing

We share information only with service providers that help us run the Service — such as cloud hosting, the database, the WhatsApp/messaging provider you connect, authentication, and AI processing — under appropriate confidentiality and security obligations. We may disclose information where required by law.

Retention

We retain business records (orders, dispatches, conversations) for as long as your distributor account is active or as needed to provide the Service, and as required for legal and accounting purposes.

Security

Access is restricted by role, data is encrypted in transit, and only the team members of your distributor can see your data. No system is perfectly secure, but we work to protect your information.

Your choices

Your distributor's administrator manages roles and access. To access, correct, or delete data, or to close an account, contact your administrator or reach us at the address below.
